Hawk HR enables admin to manage default leave settings and leave categories for the company. These leave settings will define and guide the rules based on which employees will apply leaves, reporting manager will manage leaves and the admin approves it. Refer to the following steps for defining leave configuration:
- Navigate to: Control panel->Settings->Leaves
- A new page will open up wherein, you need to fill in the details
- Select the Leave Calendar Year: This is the period that will be used for all leave accounting purposes. Start month will be the month when all leave entitlements/ renewals will take place
- Select the Default Leave Credit Frequency: This is the default leave credit frequency for all leave categories of your company
- Select the Minimum Leave Period: This is the minimum leave period for your company. If you select "Half Day", employees will be able to apply for "First Half"/ "Second Half" day leaves. If you select "One Fourth Day", employees will be able to apply for "First Quarter"/ "Second Quarter"/ "Third Quarter"/ "Fourth Quarter" day leaves also
- Define number of hours in a day for a hourly leave
- Enable Leave Escalation And Hold Status: This will activate leave escalation and hold statuses for leaves. This will allow the managers to escalate a leave to higher hierarchy or put it in hold in case the manager is busy and can't take decision on employee leave
- Enable Peer Acknowledgement: This setting allows the employees to transfer their job responsibilities to their peer before they plan their vacation. Once enabled for a leave category, the employee requests the peer to acknowledge for his/her job responsibilities during his/her planned leaves
- Allow managers to approve Leave Credit Requests for the reportees: This option will allow the managers to approve the leave credit request for the reportees and the status on approval would be Manager Approved
- Enter Maximum number of days within which Leave Credit Request can be applied
- Enable Allow Leave Credit Request application for One-Fourth of a day
- Enable Allow leave approvals even after the payroll has been processed if the attendance status of the concerned days
- Enable Advance Leave Rule
- Click on Configure, a new page will open up showing fields to configure advance leave rules for your organization
- Enabling Long Leave will allow the weekends/ holidays falling in between the leave period to be customized according to the rules selected
- For considering weekends after selected days (If weekends come in between the selected leave period) mark the check box, e.g.- consider someone applied for leave from 1-15 of a month where there are two Saturday/ Sunday as weekends. Now if above value is set as 10, then first weekend will not be counted in leave whereas second set of weekend will be counted as part of leave, so that the effective leave count is 13.
- For considering all the weekends/ holidays coming in between the selected days (If weekends come between the selected leave period) mark the checkbox, e.g.- Consider someone applied for leave from 1-15 of a month where there are two Saturday/ Sunday as weekends. Now if above value is set as 10, then all weekends (in this case, two) will be counted as part of leave, so that the effective leave count is 15.
- Click on Save button
- Click on Update button
- You can create new leave category under the section of Add leave category, fields are provided for defining the rules of added leave category
- Down scroll the page to view the details of the already added leave categories
