Manually adjust employee attendance details

Oct 30, 2019

In certain situations—such as device errors, field visits, or accidental missed punches—an employee’s attendance might not be captured correctly. To maintain accurate records, HRStop allows Admins to manually adjust attendance entries quickly and efficiently.

This guide outlines the step-by-step process for making manual attendance adjustments in the system.

Who Can Make Manual Adjustments?

Only users with administrative access or specific permissions can make manual adjustments to attendance.

Don’t see the option? Reach out to your system administrator to verify your access rights.

Steps to Manually Adjust Attendance

1. Navigate to the Attendance Section

Go to: Control Panel → Attendance

2. Click on ‘Manually Adjust’

Look for the Manually Adjust button located at the top-right of the attendance screen.

3. Select the Employee

A pop-up window will appear. Search for and select the employee whose record you need to edit.

4. Choose the Attendance Source

Specify how the attendance is being entered. Options include:

  • Biometric
  • Mobile
  • Web
  • Manually Adjust (commonly used for corrections)
5. Enter the Punch Details

Add the correct Punch-In and/or Punch-Out times as needed.

6. Add a Comment (Optional)

Provide a reason for the change (e.g., “On-site client visit”, “Missed punch due to system issue”). This is helpful for audit purposes.

7. Click ‘Add’

Once you’ve entered the details, click Add to apply the adjustment.

8. See Confirmation

A success message will appear, confirming that the record has been updated.

  • Can’t find the ‘Manually Adjust’ option?
→ Ensure your user role has the necessary permission to edit attendance.
  • Changes not reflecting?
→ Check if the attendance date is locked due to payroll processing or if the employee has approved leave on that date.
