Leave Entitlements

HRStop provides a very flexible leave management system in which you can entitle leaves (set up eligibility criterion) for employees who are entitled/ eligible to take a specific kind of leave. This option is available with the super admin as well as authorized admins.

How to set up leave entitlement/ eligibility criterion for the employees?

  •  Go to Control Panel-> Leaves-> Entitlement
  • Select the necessary leave category and the parameters on which you would want to set up the eligibility.
    • You can entitle leaves on employees’ location, department, band, employment type, gender, etc
    • You can also define different accrual frequencies for different leave categories
    • You can also define Pro Rata accrual logic if someone joins in between
  • Click the Save button.

Note:

  • A leave type will be visible to employees only if he/ she is entitled to it.
  • A Need Based leave has no limit and thus you will not be able to set any upper limit for it while setting up entitlement rule.
  • The leaves get automatically accrued into the accounts of the eligible employees’ on the first of every month as per the entitlement rules.

How to edit/update the existing leave entitlement?

The system allows the authorized admins to edit/ update the existing leave entitlement rules.

  • Go to Control Panel-> Leaves-> Entitlement
  • Scroll the page to “Existing Leave Entitlement Rules” section.
  • Click “Edit” (Under the Actions column)  against the desired leave rule.
  • The rule gets populated in the form above.
  • Make he required changes and hit the “Update” button.

Note:

  • The existing leave balance of the employee does not change if the leave entitlement rule is changed in between. Any changes for automatic leave accrual will only be effective from next accrual cycle.

    Yes, you can! HRStop allows you to configure entitlement rules based on the employee's service status (e.g., Probation, Confirmed, or Under Notice).

    Steps to Configure:

    1. Navigate to Control Panel > Leaves > Entitlement
    2. Select the desired Leave Type
    3. Choose the Service Status:
      • Probation
      • Confirmed
      • Under Notice (as per your requirement)
    4. Set the following parameters:
      • Credit Frequency
      • Post Crediting
      • (Optional) Deferred Crediting
    5. To set rules for Confirmed employees, repeat the same steps above with the corresponding service status.
    6. Click Save

    The system will automatically apply the relevant entitlement rules based on the employee’s current status.

    Leave credits are delayed until the employee is confirmed.

    You can choose to:

    • Start credit from date of joining, or
    • Begin from confirmation date.

    Ensures compliance with probation policies.

    You can automate leave credits by setting the system to credit leaves monthly on the 1st—no manual work needed!

    Steps to Configure:

    1. Go to Control Panel > Leaves > Entitlement
    2. Select the relevant Leave Type
    3. Set Credit Frequency to Monthly
    4. In the Credit Date column, select 1st for each month
    5. Click Save

    HRStop will auto-credit leaves on the 1st of every month, keeping your leave management consistent and hands-free.

      Yes.
      HRStop allows you to assign custom leave entitlements to an individual employee using the Employee Leave Entitlement Exception feature. This does not impact the standard entitlement rules for others.

      Use Case Example:
      If the company policy grants 12 Annual Leaves, but you want to grant 15 to a specific employee, you can set it up without modifying the global rule.
