Manage Document Category (Admin)

Hawk HR enables admin to upload the employee's document. The system also allows employees to upload his/ her required documents.


Creation of Document Category in your Hawk HR portal that allows the employees to submit their documents in the respective category.

  • Navigate to: Control panel -> Settings -> Employees
  • Scroll down to Document Category
  • Add the Category Title
    • Description - If you want to explain what this document is for
    • Number of documents required - 1/2/3/... (As per the requirement)
    • Applicability - Who can upload the document; Anyone will allow both Employees as well as Admins to upload the document
    • Expiry -  Check this if the document has an expiry date; if notifications are enabled for this, the system will send out alerts to the concerned stakeholders if the document is about to expire
    • Mandatory -  Check this if the document needs to be mandatorily updated against the employee profile
    • Identification# -  Check this if you want the identification number of the document to be captured separately against the document
  • Click on +Add button.

Verify/ Approve the document uploaded by an employee

  • Login as Admin who has access to Employees Module.
  • Go to Control Panel -> Employees -> View Add -> Documents ( Documents button will be on the top right section of the page)
  • Scroll down to Filter band.
  • Select Document category, status as Uploaded (if you only want to see documents that are uploaded and not yet approved). Click on Filter.
  • You can view the documents by clicking on View icon against the respective documents
  • Select the documents you want to mark as Verified
  • Click on the Actions button on top of the list and click on Verify option.

Upload document of an Employee as an Admin

  • Login as Admin who has access to Employees Module.
  • Go to Control Panel -> Employees -> View Add
  • Click on Edit button against the concerned Employee
  • Click on Documents tab
  • Select the Document Category. Document status should be Verified. Provide more details if required.
  • Select the employee document you have and click on Add button

The uploaded entry will be shown in the listed view, you can perform different actions on it as per options given under Actions.
