Apply Leave for Absences in HRStop

Unnotified absences can impact team productivity and distort accurate leave tracking. HRStop helps administrators manage such scenarios efficiently by allowing them to apply leaves in bulk for absent days—ensuring compliance with leave policies and maintaining up-to-date attendance records.

Steps to Apply Leave for Absences

1. Navigate to the Attendance Section

  • Go to Control Panel → Attendance

2. Open the Import Dropdown

  • Click the dropdown next to the Import button
  • Select Apply Leaves

3. Fill Out the Leave Application Form

You’ll be redirected to a new form with the following fields:

  • Attendance Period – Enter the date range for the absence
  • Balance Till Date – Enter the cut-off date for balance validation
  • Leave Type – Choose the leave type (drag to reorder if multiple types exist)
  • Leave Status – Select either Approved or Pending
  • Apply Leave (If Balance Goes Negative) – Check this to allow negative balances
  • Send Notifications – Check to notify selected employees

4. Select Employees to Apply Leave For

  • Filter employees by Department, Designation, or Employee Code
  • Select desired employees from the filtered list

5. Apply Leaves

  • Click Apply for Selected Employees in the center of the page

6. Optional – Reset the Form

  • Use the Reset button to clear all selections and start over

After Submission

Once submitted, the leave records are applied instantly to the selected employees, and (if enabled) notification emails are sent automatically.

Troubleshooting

Leaves Not Applied

  • Ensure all mandatory fields are completed
  • Verify employee filters are applied correctly

Notification Not Received

  • Confirm the “Send Notifications” checkbox was selected before submitting.
