Before a business journey, an employee has to submit a travel request form in which he/she provides information required for approval of the travel.
Hawk HR allows employee to raise a travel request where an employee submits the itinerary details of travel.
Raising Travel Request
- Navigate to: Travel->View/Apply
- Click on +New (Top right corner)
- A new page will open up showing fields to request new travel journeys
- Title: Enter the Title
- Description: Enter the Description
- Departure date Enter the Departure date
- Arrival date: Enter the Arrival date
- Travel type: Enter the Travel type
- Travel From: Enter the location you are traveling from
- Travel type: Enter the location you are traveling to
- Travel to: Select the travel priority
- Reason: Enter the reason of travel
- Enter the Travel itinerary details in the table below
- Itinerary details: A travel itinerary is a schedule of events relating to planned travel, generally including destinations to be visited at specified times and means of transportation to move between those destinations.
- Fill up the details in the fields as required along with attachments if any
- Add Row: In case, you wish to more details
- Click on +Create request button to create the request
Raising Expense Request
Once Travel request is approved by the concerned person, an employee can raise expense or advance expense request based on his/her requirements.
- Navigate to: Travel->View/Apply
- Click on the Create expense or Create expense advance(Under Actions) of the concerned travel request
- A new page will open up showing fields to file expense report for employees, fields marked with asterisks are mandatory to fill
- Expense Report Title : Enter the Expense Report Title
- Project : Select the Project under which the expense is created
- Enter the expense details in the table below
- You can +Add row (option given on the bottom of table) / delete (option given at the end of rows)
- Enter the Additional Details
- Click on Submit button (to create expense) option of Reset is also given (to remove the filled data)
Employee can view the status of the raised expenses by referring to the following path: Travel->View/Apply->Click on the title of the travel request
Raising Tickets
Employee can raise tickets in case of any queries related to the travel request he/she has raised.
- Navigate to: Travel->View/Apply
- Click on the + Raise Ticket (Under Actions) of the concerned travel request
- Click on + Raise Ticket button (given in the page navigation bar), a new page will open showing fields to raise a ticket
- Select the Category from the drop-down
- Select the Priority (Normal/ Medium/ High)
- Enter the Subject of the ticket
- Describe the issue in the Description field
- Select the Attachment (if any)
- Click on + Create Ticket button to raise the ticket, Reset button to remove the filled data
Employee can view the status of the raised ticket by referring to the following path: Travel->View/Apply->Click on the title of the travel request
Travel Itinerary details
In case, employee wishes to edit existing or add additional itinerary details to the Travel request. He can do so by referring to the following steps:
- Navigate to: Travel->View/Apply
- Click on the title of the concerned Travel Request
- Click on Itinerary tab
- Click on Add/Edit Itinerary details
Note: You will be able to edit existing or add additional itinerary details to the Travel request if it is pending status.
Manager Approval
Reporting Managers can approve or reject the travel request raised by the employees by referring to the following path: Travel->Approve
