Apply Leave on Behalf of Employees (For Reporting Managers)

As a Reporting Manager in HRStop, you have the ability to apply for leave on behalf of your team members. This is particularly helpful in cases where employees are unable to access the system or when handling exceptional scenarios like last-minute absences.

Steps to Apply Leave for a Reportee

Follow the steps below to submit a leave request on behalf of an employee:

  1. Navigate to: Main Panel -> Leaves -> Approve.
  2. Click on the "Apply Employee Leave" option
    • This option appears only if you are a reporting manager.
    • You’ll be directed to a form for applying leave on behalf of a reportee.
  3. Select the Employee
    • Choose the name of the employee from your list of reportees.
  4. Fill in the Leave Details:
    • Leave Type – Select the appropriate type of leave (e.g., Casual Leave, Sick Leave, etc.)
    • Leave Period – Specify the From and To dates for the leave.
    • Reason for Leave – Mention the reason or any supporting notes.
    • Leave Status – Choose whether to submit the request as:
      • Approved (if leave is already granted)
      • Pending (if it still requires formal approval)
  5. Click "Submit"
    • The leave will be applied on behalf of the selected employee.
    • The record will reflect in the employee's leave history.

Notes:

  • This functionality is available only for employees who directly report to you or fall under your reporting line (if you are an HOD).
  • All such leave applications are tracked in the system for audit purposes.
  • The employee will receive a notification if system alerts are enabled.
