Leave Entitlement Transcription

(0:02) Now we'll be discussing the leave entitlement tool.

(0:05) So after the creation of leave category, we'll be making a leave entitlement tool in which way the
leave should be credited to the employees.

(0:14) You have to navigate to the Control Panel -> leave and the entitlement section

(0:19) To create the leave entitlement rules, uh, which are nothing but the rules according to which the leaves will be crediting to the employees in the system.

(0:28) You have to define those rules. So here, once coming here on this page, you have to select the category for which you're making the entitlement.

(0:36) Let's say I'm choosing the annual leave. You can define the entity in case there are
multiple entities in the company.

(0:42) You can choose the locations for which you're making this entitlement. You can make different entitlement
for different locations accordingly.

(0:51) Bands department designation, in case it is common for all. You can choose the all option.

(0:56) Then we have employment type that you want to define service status in case there is separate lease
that accredited for the, um, confirmation confirmed people or the probation people.

(1:07) So you can define the service status from here and accordingly, the status that is defined
for the employees in the system. This leave will be credited to them accordingly.

(1:15) Then we have the work mode option as well.

(1:17) You want to define the gender in case of maternity
or paternity leaves. You can define those. You want to define the marital status, for those particular leaves, maternity or paternity. You can define the, option accordingly.

(1:30) From here, in case this leave entitlement that you're creating should be based on experience level.

(1:36) You can also choose the experience level or the total experience level.

(1:39) Experience level will be the experience in the current company and total experience will be including their previous experience as well as the experience in the current company.

(1:49) So any entitlement you want to create basis on the experience as well, you can create it from here.

(1:56) Then you have this option of credit frequency.As you've already defined the leave category, the frequency here.

(2:01) Also you can define the frequency of the leave credit that should be happening on which day you want to credit this leave.

(2:06) Whether it is seven of every month, five of every month, first of everyone.

(2:10) So you can define it here, whatever is the, credit date Leave credit. How many leaves should be credited?

(2:17) Let's say 15, credits should happen monthly per annum, and so it'll be crediting accordingly. You can see the credit plan from here at 1.25 leaves will be credited each month accordingly.

(2:30) On the base of the frequency of monthly, in case you want to prorate leave data.

(2:37)You can also pro it leave based on days or post crediting option.

(2:42) Post crediting option will be, in, you can use in case you want that  the employee should be credited the leaves on the base of the start day and day and unit of leaves.

(2:53) So it'll be different for everyone. So you can also enable post crediting in case you want to
define these things.

(3:00) Like for example, if you want, if someone, uh,is working from one to 20, like 20 days they're working, then they should be given one credit of leave or 1.25 credit of leave.

(3:12) So you can define the different slabs or the calendar month
and in which cases you want to consider them as present.

(3:18) Whether like, I don't want it, if it is a LOP, I want to consider them present. Other days I can consider them present.

(3:25) So you can define those slabs and the calendar month for this post rating option.

(3:30) And uh, also you have the option of mentioning the maximum leave credits that should be allowed in a company.

(3:38) Like if I mentioned they're here. maximum leave credit allowed at five.

(3:43) So if I'm adding any creditors, seven or eight, the system will not let me allow it.

(3:50) And will not let me add those leave credits here because I have defined a condition here that
how many maximum leave credit should happen.

(3:58) Maximum leave balance at a time, what the leave balance could be for this employee.

(4:03) The leave count, you can define it here. If let's say it is 30 or 20, and if it is more than that,
the system will give you a warning whenever that is happening. It cannot allow that leave, maximum leave exceed the maximum leave balance in the system.

(4:21) Okay? Then there is a defer crediting option. This will work only when there is employment type change request.

(4:28) This option is enabled
whenever you see that probation people are transferring
to the confirmed employees.

(4:35) And they were, they have received some leaves in the con uh,
probation.

(4:38) But when they're getting confirmed, the leaves that they have not received for the,
their status confirmation, uh, that they'll be getting in the confirmation.

(4:49) So you can set up a deaf accrediting rule
for those things here.

(4:55) And you can set up all of these things
and then click on save. So after you click on save, there will be a entitle tool that that's created here, and you can see it in the list.

(5:03) You want to edit or delete or create any new rules you can do so from here.

(5:09) Most important thing, these entitlement rules are created
maybe once a year because these are based on your policies.

So these should not be changed frequently because if these are changed frequently there could be changes in the way the leaves are getting credited or not getting credited. So there could be a mismatch.

(5:27) So these leaves should not be changed frequently,
but according to the policy that you are following, you can,
uh, change it once a year so that the, all the crediting
and everything happens accordingly.
