Add & Import Assets

Okay, so now we'll be discussing how you will be able to add any asset (company resource like laptop, phone, etc.) in the system by the Add Asset option (feature to manually register assets).

You have to go to the Control Panel → Assets → View/Add option.

Once you click on that option, you will be coming onto this page, where all the assets previously added and assigned are visible. And you will see an Add Asset option at the top right corner of the page. You have to click on this Add Asset option.

You will see various fields (input boxes for data entry) that you have to fill. In order to add any asset in the system:

  • You can select the category (type/group created earlier, e.g., Laptop, Mobile) that we have created earlier regarding the asset.
  • You can choose the particular asset category that you are adding the asset for.
  • Select the brand (manufacturer, e.g., Dell, HP).
  • Enter the title (name of the asset). The system defines the title automatically based on the selected category. For example: "Dell Laptop." As it is a mandatory field, you must enter the asset title here.
  • Add any description (optional details about the asset) as per your requirement.
  • Select the location (branch/site where the asset is placed) if applicable.
  • Define the asset code (unique identifier for each asset).
    • If you have already defined the code pattern (predefined numbering series) in the asset category, it will be automatically generated here.
  • You can also define the code mentioned on the physical asset.
  • Click on the eye icon (view option) to generate a barcode (machine-readable label) and later download it to stick on the asset.

Next, we have the option of Life Stage (current status of the asset).

  • You can choose whether it is New, Working, Not Working, or Dead.

You can also:

  • Decide the next service date (scheduled maintenance date) for this particular asset.
  • Add any picture, document, invoice, warranty, or user manual related to the asset.
  • Add admin notes (private remarks visible only to admins).

Then, you can add the procurement details (vendor and purchase information). These are optional.

You also have the option of assigning the asset while adding it:

  • Select the employee from here.
  • Enter the expected return date (if known).
  • Enter the issue date (the date the asset was given).
  • Add any comments regarding the asset.

Finally, click on Save.

  • If you want to save and immediately add another, click on Save and Add More.

Import Assets

One more option is available: Import Assets.

  • In case you want to add assets in bulk, you can click on this Import Assets option.
  • Download the sample CSV file (spreadsheet format) from here.
  • Once downloaded, you will see a CSV file with all the headers (column titles like Name, Code, Employee Name).
  • Fill in the details for each asset, including the employee’s name to whom it is assigned.
  • Once you prepare the file with multiple entries (e.g., 20–25), save the file.
  • Upload this file back into the system.
  • Enter the date format (format like DD/MM/YYYY or MM/DD/YYYY) matching the file entries.
  • Review and upload.

Once you do this, the assets file will get uploaded accordingly, and the assets will appear in the system in bulk.
