Analytics : Leaves

The Leaves Analytics module in HRStop enables HR and Admin teams to track, analyze, and manage leave-related data efficiently. It provides comprehensive reports on leave applications, balances, transactions, approvals, and more — all of which can be filtered, viewed, and exported for further insights.

Available Reports in Leaves Analytics

1. Leave List Report

  • Displays all applied leaves in a tabular format.
  • Includes:
    • Leave category
    • Applicant name
    • Date of application
    • Leave duration
    • Leave status (Approved / Rejected / Pending)
  • Allows filtering by:
    • Leave category
    • Date range
    • Status

2. Pending Leave Report

  • Shows leave requests that are still awaiting approval.
  • Useful for follow-ups with approvers.
  • Can be filtered by:
    • Leave type
    • Department
    • Date of application

3. Approval Report

  • Lists all approved leave requests.
  • Includes approver name and action date.
  • Helps in tracking approval timelines and approver accountability.

4. Availed Leaves Report

  • Displays the number of leaves availed by each employee.
  • Categorized by leave type (e.g., Casual Leave, Sick Leave).
  • Useful for understanding leave consumption patterns.

5. Leave Balance Report

  • Shows real-time leave balances for each employee across leave categories.
  • Helps HR monitor leave entitlements and usage.

6. Leave Transaction Report

Tracks all leave-related transactions:

  • Leave credited (manual/system-based)
  • Leave debited (availed)
  • Expired or lapsed leaves
  • Manual adjustments
  • Uploaded balances
  • Credit requests

=> Each record includes:

  • Transaction type
  • Date
  • Leave type
  • Employee name
  • Remarks (if any)

=> Exportable as a CSV report.


7. On Duty & Work From Home Reports

  • On Duty Report: Lists all OD applications with date, reason, and status.
  • Work From Home Report: Shows all WFH requests, status, and duration.

=> Useful to analyze non-office attendance patterns.


8. Monthly Leave Summary

  • Consolidated monthly report including:
    • Leave days
    • On Duty days
    • Work From Home days
  • Helps in monthly payroll or attendance reconciliation.

9. Credit Request Report

  • Shows all leave credit requests submitted by employees.
  • Includes request status (Pending / Approved / Rejected).

10. Optional Holiday Report

  • Lists all optional holidays applied by employees.
  • Includes:
    • Employee name
    • Holiday name
    • Date of application
    • Weekday
  • Supports cultural/religious holiday tracking.

11. Leave Analysis Report

  • High-level summary showing:
    • Leave usage by type
    • Frequency per employee
    • Average leave trends by department
  • Supports visual analysis for strategic planning.

Filters & Export Options

All reports support filtering based on:

  • Date Range
  • Leave Category
  • Status
  • Department
  • Employee

=> Export: Each report can be downloaded in Excel/CSV format for sharing, payroll, or auditing purposes.
