How to Enable the Separation Request Module

The Separation Request module in HRStop plays a vital role in managing employee offboarding in a structured, trackable, and policy-driven manner. This allows employees to submit resignation or exit requests through the portal, while also providing the admin and reporting managers full control over the review, approval, and workflow process.

Only a Super Admin, Admin, or a user with the required access rights can enable or configure this module for the organization.

Step-by-Step: Enabling the Separation Request Module

To enable the feature for your employees:

1. Log in as Super Admin or Admin

Ensure you are logged in with an account that has access to Control Panel > Settings. Only such roles have permission to manage module-level settings.

2. Navigate to the Module Settings

  • Go to:
    Control Panel → Settings → Modules

This section contains all toggle-based configurations that control access to various modules within HRStop.

3. Search for “Separation Request”

  • Use the search bar or scroll to locate the module titled: “Enable employee separation request option in self services portal”

4. Enable the Module

  • Enable the checkbox next to the option.
  • This will activate the Separation Request option in the employee’s self-service portal under: Main Panel → My Home → Separation Request

Once enabled, employees will see a dedicated tab where they can raise separation or exit requests based on their notice period, policy rules, or personal decisions.

Additional Configuration Options

HRStop provides multiple sub-settings to fine-tune the behavior of the separation request process. These options can be toggled while enabling the main module:

=> Revocation Rights

  • Option to allow employees to revoke a separation request (if it's still in the “requested” stage and not yet approved).
  • Useful in cases where an employee changes their mind or resolves concerns.

=> Display Leaving Date

  • You can configure whether or not to show the desired leaving date to employees while raising a request.
  • This can be based on notice period or custom exit dates.

=> Submission Acknowledgement

  • Require employees to acknowledge the terms or provide consent before submitting the request.
  • Ensures formal intent and avoids unintentional submissions.

=> Mandatory Attachments

  • Enable the requirement for employees to upload supporting documents, such as a formal resignation letter, clearance request, or medical certificate.
  • This setting enforces compliance with your organization’s policies.

=> Manager Approval Control

  • You can choose whether Reporting Managers are allowed to approve/reject requests, or whether all such actions must go through Admin only.
  • Flexible control for decentralized or centralized HR processes.

=> Save Your Settings

Once all configurations are reviewed:

  • Click the “Update” or “Save” button (bottom of the module settings page).
  • The changes will be applied organization-wide and made available immediately to users with the corresponding roles.

Post-Enablement Outcomes

After successful configuration:

  1. Employees will see the “Separation Request” tab in their My Home panel.
  2. They can initiate a request by filling out reason, leaving date, and other details.
  3. The system will send automated email notifications to:
    • Super Admin
    • Reporting Manager
    • Employee (if enabled)
  4. Admins and managers can then review, approve, reject, or take follow-up actions.

Access Control Reminder

If an employee does not see the “Separation Request” tab in their portal:

  • Ensure the module is enabled as described above.
  • Check role-based permissions or access restrictions.
  • Confirm whether the employee profile is marked active and not excluded from standard workflow.
