Salary Template is a logical group of pay components/ pay heads that appear in salary slips/ CTC reports. You can create separate salary templates for different group of employees if their pay structure varies. After creation of the salary template, it is assigned to the respective employees.
Refer to the following steps to create salary template:
Navigate to: Payroll -> Salary Template, a list of templates will appear
Click on +Add New to add a new template, a new page will open up showing fields to fill
Enter unique Template name, Description, Salary Period
Enabling Has Daily Wages option will allow you to enter the daily wage of an employee. In turn he/she can be paid based on number of days present. Ideally for paying daily contractors
Enabling Has Hourly Wages option will allow you to enter the hourly wage of an employee. In turn he/she can be paid based on number of hours present
Enabling Show Advance Settings option will allow you to update the round off setting at component level
Click on Next to get on Pay components
Under the section of earning components, you can define the Name of the component
Enter the Value/ Percentage of the component
Select the Pay frequency of the component
Mark the check box to enable Prompt to make it variable (different for different employee) (available with admin to update/ edit while processing the payroll for particular employee)
Select the Visibility ( Always shows/ Shows if greater than zero)
Select the Calculation mode
Flat: complete amount irrespective of the company's working days
Working days: Working days defined in the month
Net paid days: days for which employee is present (Net paid days = Working days - LOP)
You can even delete an entry by the help of the icon given under Actions column
Add the pay component and update the Name, Value, Pay frequency, Prompt, Visibility and Calculation Mode respectively for Deduction Components (Note: Don't use special character in component's name).
Select the Statutory Components (employee's statutory components, e.g - PF) by clicking on it drop-down, update the Value, Pay Frequency, Visibility respectively (Note: Don't use special character in component's name).
Click on Next to get on CTC components
Add the pay component and update the Name, Value, Pay frequency, Prompt, Visibility and Calculation Mode respectively for CTC Components
Select the Statutory Components (employer's statutory components, e.g - EPF) by clicking on it drop-down, update the Value, Pay Frequency, Visibility respectively
Click on Next to Add Taxes (Income Tax, Professional tax, Federal tax, etc), you can add or delete an tax entry
Click on next to configure the category of the pay components under the section of Map components, select the categories against pay components
Click on Next to get on Update Employee Pay Components
If you choose the first option Update pay components value (salary value) with default values for employees under salary template, the system will update the component values for all the employees who have been assigned with this salary structure (E.g.- if you add a component food coupon and assign a value of 300, all the employee will get food coupons worth Rs. 300)
If you choose the second option Update pay components head for employees under this salary template, the system will update only the component in salary structure using this option, the actual value for the component can be specifically added in the employee's salary (E.g.- if you add a component food coupon in the salary, but what the employee will specifically get under this component will be defined in salary breakup, as it varies from employee to employee)
Click on Next -> Finish to add the salary template
All the changes will be made instantly.
