Generating Expense Reports: Analytics

The Expense Analytics section in HRStop allows administrators and finance teams to gain valuable insights into company-wide expenses. These reports help monitor spending patterns, ensure policy compliance, and support informed decision-making by analyzing data across multiple dimensions such as department, project, approval status, and more.

Accessing Expense Analytics

To begin viewing or exporting expense data:

  1. Navigate to the Analytics Section
    Go to Control PanelAnalyticsExpense.
    This page provides access to multiple types of reports related to employee expenses.

Types of Expense Reports

Choose the report type that best suits your analysis needs:

  • Summary Report
    This report provides a high-level overview of expenses. You can filter and group the data by:
    • Entity: View data specific to legal entities or branches (if multi-entity setup is enabled)
    • Department: Compare expenses across different departments
    • Designation: Monitor expense trends across different job roles
    • Project: Analyze expenses tagged to specific projects
    • Location: Track spending by geographic office or work location
  • List Report
    This is a detailed breakdown of all expense entries. It includes:
    • Expense date and description
    • Claimed amount
    • Category and project (if tagged)
    • Submitted by and assigned approver
    • Approval status (Pending, Approved, Rejected)
    • Notes or comments added during review
    This report is especially useful for finance teams when verifying claims or conducting audits.
  • Payouts Report
    This report shows all completed and processed payouts, including:
    • Employees who have received reimbursements
    • Amount disbursed
    • Date of payout
    • Associated expense claim details
      This is ideal for tracking reimbursement history and managing payroll integration.

Using Filters to Customize Reports

Each report offers a set of filters to narrow down the data:

  • Date Range
    Select a custom time period to analyze expenses submitted or approved within specific dates.
  • Expense Status
    Choose from:
    • Pending – Submitted but not yet approved
    • Approved – Authorized and ready for payout
    • Rejected – Declined claims with/without reasons
  • Department / Designation Filters
    Focus on specific employee groups or business units for targeted expense analysis.

Exporting Data

Once you’ve applied the relevant filters:

  • Click the Download CSV button to export the report data.
  • The downloaded file can be used for further analysis, internal reporting, audits, or integration with accounting tools.

By leveraging the Analytics section of the Expense module, organizations can maintain greater visibility over business expenses, ensure transparency, and drive better budget management across teams.
