Locking/Unlocking Attendances

HRStop provides the flexibility to lock or unlock employee attendance, allowing administrators to control when employees or managers can make attendance-related changes. This feature ensures data accuracy and prevents unauthorized modifications during payroll processing or audits.

What Does Locking Attendance Do?

When attendance is locked for a specific period, it restricts users from:

  • Regularizing punches
  • Applying for leaves (including On-Duty or Work From Home)
  • Justifying late arrivals, early exits, or attendance shortages

Types of Locking Options

HRStop offers three levels of locking:

  1. Employee Lock/Unlock
    • Locks attendance functionalities only for employees.
    • Employees will not be able to:
      • Request punch entries
      • Apply for or justify leave/attendance issues
    • Managers and Admins can still make updates on behalf of employees.
  2. Manager Lock/Unlock (New)
    • Locks attendance functionalities for both employees and their managers.
    • Managers will be restricted from:
      • Making any updates for employees
      • Approving or rejecting leave requests
    • Admins retain access.
  3. Fully Lock/Unlock
    • Complete lock across the system.
    • No user, including Admins, can make changes to attendance once this is enabled.

How to Lock Attendance

  1. Navigate to: Control Panel -> Attendance
  2. Click the drop-down next to the Import button in the navigation bar and select Lock.
  3. A new page will appear. Fill in the following:
    • Attendance Period to lock
    • Select Lock Level (Employee / Manager / Fully)
  4. Click Lock.
    A confirmation message will appear once the attendance has been successfully locked.

How to Unlock Attendance

  1. Navigate to: Control Panel -> Attendance
  2. Click the drop-down next to the Import button and select Lock.
  3. Scroll down to the Unlock Attendance section.
  4. Enter:
    • The Attendance Period to unlock
    • The Unlock Level (Employee / Manager / Fully)
  5. Click Unlock.
    A confirmation message will appear once the attendance is successfully unlocked.

      • Apply for leaves
      • Edit their own attendance within the unlocked period
    • Manager Unlock:
      Allows managers to:
      • Request punches
      • Justify late marks
      • Apply for leaves on behalf of team members
    • Fully Unlock:
      Allows employees, managers, and admins full access to:
      • Request punches
      • Apply for leaves
      • Edit attendance data
  5. Click on Unlock to save and apply the changes.

Once done, the selected users will be able to manage attendance for the specified period according to the options you’ve enabled.
